ALAC:Meeting Notes/2006.05.05 Teleconference

Participants: Erick, Jaqueline (after she finally got called by John - conference service did not manage), Sebastian, Izumi, Siavash, Roberto, Annette, Pierre, John, Jean, Wendy.

ECI Conferencing Services extremly problematic. Many interruptions, many not connected at all.

Reports by Liasons: Most important issues will be send on the list. Those liasons who could not take part in the call are asked to send their's on the list.

Action items from ALAC teleconference, May 4

• Process: Liaisons and working group chairs to send updates by email ~2 days before monthly teleconference

(it would also be useful if they sent interim updates when ALAC input is needed)

• Remote participation at ICANN meetings: We need to improve communication with and from ALSs and individuals in real-time. Look into streaming ALAC meetings, accepting input by chat and email

• Budget:
  • What are all the budgeted items, who's organizing?
  • Which come from ALAC, which from ICANN staff?
  • Each line item on the budget needs a narrative (a paragraph or so describing what the money is being used for).
  • Each also needs an "owner" within the ALAC who will be responsible for reporting on progress.
  • about €2500 for written guides on how ICANN policies affect Internet users
  • financial help will be given to Asia/Pacific for meeting before Marrakech

• Organization:
  • If regional meetings are being planned, the whole committee should at least get notice.
  • All regional members should be kept in the loop of regional discussions (what's happening in Canada, for example)
  • Formalize communications/coordination with the Regional Outreach coordinators so we all know what is happening

• Workflow:
  • Consider project management tools. visualization (Jacqueline has a list of some)
  • calendar. pdp deadlines added to organisational plan
  • website subcommittee to discuss problem of 2 websites
